Business process and workflow automation with AI

Invoices, emails, quotes, reports, requests: repetitive office work that can run on its own. We build automations in the tools you already use, and AI takes over the tasks that involve reading and writing.

Process automation: what it does for your business

Business process automation means that repetitive steps (retyping data, copying between systems, replying according to a template) are done by software instead of a person. Classic automations could only handle data in a fixed format. AI changes that, because it can read an invoice in a PDF, understand the content of an email, or summarize a conversation with a customer.

The result for your business is fewer hours lost to tedious work, fewer retyping errors, and faster responses to customers. Your team focuses on what needs human judgment instead of copying data.

A person does it today → AI does it now → you just approve

Examples of processes we automate. Every business has its own, so we start with yours.

Retypes invoices from email into the accounting software.
Now AI
Reads the invoice, fills in the data, and assigns a category.
✓ You
You check and approve with one click.

Inbox

Today
Answers the same questions about prices and deadlines.
Now AI
Drafts a reply based on your price list and the conversation history.
✓ You
You read it, edit if needed, and send.

Quotes

Today
Puts a quote together from several files and old emails.
Now AI
Creates a quote draft straight from the customer inquiry.
✓ You
You verify prices and terms, then send.

Reports

Collects data from spreadsheets every week and builds a summary.
Now AI
Collects the data and writes a summary with insights.
✓ You
You read the finished report and make decisions.

Requests

Today
Sorts requests and distributes them across the team.
Now AI
Assigns a category and priority and routes it to a person.
✓ You
You fix the exceptions, the rest flows on its own.

CRM data

Today
Manually moves inquiries from the website and email into the CRM.
Now AI
Creates the contact and sales opportunity with a summary.
✓ You
You review new entries over your morning coffee.

How we build a workflow automation

  1. We map the process. We write out, step by step, what a person does today, where the data comes from, and where it goes.
  2. We choose what AI takes over. People keep the decisions and approvals, and we automate retyping, sorting, and preparing content.
  3. We connect the tools. Email, CRM, accounting, spreadsheets, and calendars talk to each other through integrations, with no change to the software your team uses.
  4. We test on real data. We try the automation on your documents and emails before it takes over daily work.
  5. We measure and expand. We count the time saved and add further processes.

Which tools we connect automations to

We work with what you already have: Gmail and Outlook, popular CRM systems, accounting software, Google Sheets and Excel, calendars, website forms, and messaging apps. We build the flows on platforms such as n8n and Make, and use language models for tasks that require understanding content. If you are wondering which tool to pick, read our n8n vs Make comparison.

Who process automation is for

For businesses where several people do the same things on a computer every day: accounting firms, service businesses, online shops, clinics, agencies, and admin teams. If someone in your company is "moving data" from one place to another, it can almost certainly be automated. We describe the overall approach on the page about implementing AI in your business.

FAQ

What is workflow automation?

It is linking steps that someone does by hand today into a single flow that runs on its own, for example: "invoice email arrives → read the data → enter it in accounting → notify the approver". AI comes in where understanding content is needed: reading documents, classifying, and writing.

What tools do you build automations with?

We choose them to fit the process. Often they are workflow platforms such as n8n or Make, connected to language models and the APIs of your systems. If full control over your data matters to you, the automation can run on your own infrastructure.

What if the AI gets it wrong?

That is why, in processes where a mistake would matter, we keep a human approval step, and the AI flags the cases it is unsure about. Every automation also keeps an activity log, so it is easy to check what happened.

How soon will I see results?

We usually implement the first process within a few days, because we start with the one that pays off fastest. We add further automations in stages.
